You'll see newly designed payment entry interfaces in Control 6.0. Although they look different from the old payment windows, they function very much the same with a few exceptions. Here's a list with some of those exceptions:

  1. You'll need to enter an Amount to Pay before choosing a Payment Type.
  1. You won't see separate payment options for each credit card type (Visa, MC, AmEx, etc…) if you are processing credit cards through Control. FreedomPay will determine the card type based on the card number and assign it the correct type when processed.
  1. All credit cards for the specified company will display as a separate Payment Type. This makes viewing which credit cards are available for the company much easier.

Let's look at some specific examples.

The Payment Type portion of the Quick Payment screen changes based on whether or not credit cards are processed in Control. Here's a list of the things that are the same for all customers regardless of whether or not credit cards are being processed internally.

Amount to Pay:

  1. This field will default to $0 if no deposit percentage is entered in Setup > System Setup.
  1. This field will default to the amount equal to the required deposit percentage (Setup > System Setup> Next Numbers and Invoice Defaults) for the order when the order is in WIP.
  1. This field will default to the Balance Due on the order when the order is in Sale or when a partial payment has already been applied to the order.
  1. If this field is left blank, no Payment Type can be selected (grey = inactive). When an Amount to Pay has been entered, you'll notice the Payment Types are blue and active.
  1. If the amount entered in this field is higher than the customer's available credit, the Customer Credit Payment Type will be grey.

Remaining:

  1. If you enter an Amount to Pay that's less than the Balance Due, the difference will automatically move into Remaining.

Overpayment:

  1. If you enter an Amount to Pay that's greater than the Balance Due, the excess will automatically move into Overpayment. This will result in a credit being added to the customer's record.

This is what the Quick Payment interface will look like for a user that is processing payments in Control.

New Credit Card: Use this option if you need to process a credit card that is not in the Card on File category. After the payment is processed, you will have the ability to save this card's details to a contact record.
Once the New Credit Card option is selected, Control will connect to FreedomPay. This may take a couple seconds to complete.

FreedomPay's Hosted Payment Page (or HPP) will open. You'll want to fill in the billing address and credit card details for the new card. Click Submit when you're ready to process the card.

Because this is a New Credit Card, the below message box will appear. You can enter notes and check the Keep On File For option if you'll like to save this credit card to a specific contact's record. Select the contact's name from the drop down and click Save. Remember that a contact can only have one payment method linked to it so the Keep on File option will overwrite existing payment methods.

Customer Credit: This option will appear grey (inactive) if the amount in the Amount to Pay field is greater than the credit balance that the customer has. If the Amount to Pay in the below example was changed to $15 or less, the Customer Credit option would turn blue.

Card on File: All credit cards that have been saved for the company will display in this section. If no cards are saved, this section will not display.

ACH on File: All ACH information that has been saved for the company will display in this section. If no ACH information are saved, this section will not display.

The Quick Payment interface looks a bit different for customers that aren't processing credit cards in Control . The differences are:

  1. The New Credit Card option is not visible
  1. The Card on File option is not visible
  1. The individual active credit card payment types are visible

Other than the differences indicated above, all Payment Types will look very similar to this when you go to post a payment:
